Here's a bright idea for adding a personal and impressive touch to your janitorial proposals.

Include a very informal letter describing how you came up with your bid estimate and include it with your proposal. Don’t make this your cover letter. It should be additional information included with your bid package.

Start your letter by saying something like:

“I believe the customer should know how we came up with our estimate to clean your office. Since you are paying for our service, I want you to better understand what you will receive for your money.â€￾

Then describe how you formulated your bid but continue to do it in an informal, conversational manner. If the location has a lot of restrooms in a production area and they are heavily used, mention that this is going to result in a higher monthly charge. If there are tile floors that will need maintenance, mention this as examples.

What it tells the customer is you have taken the time to really evaluate their needs and justify your charges. It helps to develop the trust and the bond that is necessary in order to win the customer over to your company.
